Academic Standards

It is the students' responsibility to know and complete all requirements for a degree from the College of Engineering.

College Policies

Rules, requirements, policies, and academic actions that govern students in the College of Engineering are defined in the Undergraduate Faculty Adviser's Manual, College of Engineering. A copy of the manual can be found in the College Office of Academics Affairs or with each department adviser. Students in the College are also expected to comply with the University's Student Code of Conduct. Students taking courses administered by other colleges are governed by the rules and regulations of that college.

 

Academic Actions

The College Committee on Academic Standards is responsible for enforcing the academic standards of the College of Engineering that have been approved by the faculty. The Committee normally meets twice each quarter. At the first meeting, early in the quarter, grades are reviewed and students with poor performance or violations of the rules and regulations of the College are sent letters. These letters normally state the reason(s) for the letter and any consequences that result. These consequences include:

 

  1. Warning Letter. These letters normally are informational only and are intended to make certain that the student is aware of potential consequences of continued poor performance.
  2. Warning Letter with Probation and Performance Criterion. If a student continues to perform poorly, they will normally be placed on academic probation and be required to meet with their academic advisor. They will normally also be given academic performance criterion that must be meet to be removed from probation and to be allowed to continue in the College of Engineering. Academic probation is communicated to the University and may effect a student's participation in extra curricular activities.
  3. Demotion. If a student falls behind the approved curriculum for their graduating year, they may be demoted to the following class. Students who are demoted are often required to repeat courses in which the grade of "D" has been earned. Students who are demoted will also be required to co-op additional quarters.
  4. Suspension. Many times, poor academic performance is caused by factors outside of the academics. These include, but are not limited too, financial problems, personal problems, career goal doubts and motivational problems. When the Committee feels appropriate, they may suspend the student for a set time period. Readmission to the College is guaranteed at the end of the suspension. The length of the suspension is normally between one quarter and one year.
  5. Dismissal. Students who continue to have academic performance problems may be dismissed from the Program and/or from the College of Engineering. Reasons for dismissal included:
    • Receiving the grade of W, I or F in the same course twice.
    • Three or more quarters with a Grade Point Average less than 2.0.
    • A single quarter with no passing grades.

If you receive a letter from the Committee, you should follow all instructions completely. Failure to comply with all aspects contained in the letter is grounds for demotion or dismissal.

Appeals

In any case, you have the right to appeal any decision of the Committee on Academic Standards. Appeals normally are made in instances when the student feels that the committee did not have all of the facts and pertinent information to make a good decision.

In order to minimize unnecessary actions by the Committee on Academic Standards, you should keep your advisor apprised of situations that are unavoidable but affect your academics. These include medical situations, financial situations, family crisis and any other situation that may arise that affects your academic performance. You must also learn to deal with these types of situations realistically. It may be in your best interest to drop all classes in one quarter and start over the next quarter. If you have appropriate reasons, this quarter would not be held against you.

There are two other academic actions that a student can select to impose upon themselves. These are:

  1. Delay of Graduation. Sometimes it becomes necessary for a student to delay their graduation by one, two, or more quarters.
  2. Self-demotion. Students with significant academic difficulties may elect to demote themselves to the following graduation year. The Committee on Academic Standards normally sees this action as a positive step.

An "Irregular Registration Petition" or a "Substitute Course Petition" must be submitted to have any deviation from the required curriculum approved. The petition must be approved by the student's academic adviser, co-op adviser (when work is completed on co-op assignment), and the Committee on Academic Standards. The petition must be approved before the course work is started. Students are discouraged from taking required engineering courses at other Universities or from the University of Cincinnati Evening College.

Withdrawal Policy

Students are permitted to Fail, Withdraw (official) or Withdraw (unofficial) (F,W,Y rule) from Fundamental College Courses or Fundamental Department Courses only once. The course must be repeated, and a second F,W,Y will normally result in dismissal from the Department and possibly the College.

A student may withdraw from a course through the twenty-first (21st) calendar day of the quarter with no signatures and no record of enrollment will be made on the academic record.

A student who drops a class after the twenty-first (21st) calendar day of the quarter needs the signature and grade assignment (W or F) of the faculty member and the signature or stamp of the college representative on the add/drop form.

A student may be administratively withdrawn and granted a 100% refund if it can be documented that the student does not meet the published prerequisites.

The deadline to drop a course is the fifty-eighth (58th) calendar day of the quarter.

 

Fundamental College Courses

  1. Calculus I and II
  2. Multivariable Calculus
  3. Differential Equations
  4. Chemistry I
  5. General Physics I and II
  6. Engineering Models I and II

Fundamental Department Courses

  1. All required MECH courses

Any failure or withdraw is considered a serious academic problem and may result in the student not being able to continue in a normal sequence of courses. A student who fails or withdraws may be demoted to the following class and may be required to repeat course work. Each student who fails or withdraws from a course will be notified by the Committee on Academic Standards of any academic consequences.

Incomplete ('I') Grade

In unusual circumstances, a student may be assigned the grade of 'I'. There are two criteria that must be meet before 'I' is the appropriate grade.

 

  1. The student must be passing the course with at least a 'D'.
  2. The student and faculty must meet and define the requirements for the removal of the 'I' grade. After the work has been completed, the faculty member will submit a Change Of Grade form to the registrar and assign a grade.

Any Incomplete (I) must be removed before a student is permitted to continue in the program. I grades are automatically changed to an F grade after one year.

 

No Grade Reported (NG)

In unusual cases, a student may receive the grade of 'NG'. This normally occurs in courses that continue for more than one quarter, such as a Special Project. If a student receives an 'N' grade, they should contact the professor immediately and determine why the 'NG' was assigned. DO NOT ASSUME THE 'NG' WILL BE CHANGED. If after one quarter, the 'NG' is not changed into a grade, contact your advisor.

Pass-Fail Policy

  1. Freshman may not elect pass-fail registration for any course.
  2. No 1000-level English course can be taken on a pass-fail basis.
  3. No student may elect pass-fail registration for any course specifically identified by title and number in the curriculum, with the exception of Prof. Dev. II.
  4. In addition to the courses specified in rule 4, a department may prohibit its students form electing pass-fail registration in any course other than those designated as meeting the college BoK requirement.
  5. No required course (including BoK electives) can be taken on a pass-fail basis during a professional practice quarter.
  6. So long as rules (2) and (3) are followed, a student may register for non-required courses on a pass-fail basis.
  7. NOTE: Department policy prohibits students from taking Department or Department Design electives pass/fail.
  8. With the exception of non-required courses [see rule (6)], no student may elect more than one pass-fail course in any given quarter.
  9. A student enrolled in a course on the pass-fail basis will receive either a grade of "S" (satisfactory) or a grade of "F" (failure).
  10. A student enrolled on the pass-fail basis in a course administered by the College of Engineering will be assigned the grade of "F" (failure) according to the same performance criteria established by the instructor for students enrolled in the course on a regular letter grade basis, that is, "D" quality work will result in a "S" grade. (Note: other colleges may have different pass-fail policies)

Note: After the 7th calendar day of the quarter, changes in registration from credit to pass-fail or pass-fail to credit will not be approved.
